Documents — Overview
The project file library — file drawings, specifications and certificates into folders so everyone on the project can open them from one place.
Documents is your project's file library. It holds the drawings, specifications, method statements, test certificates and scans that someone on the project deliberately filed there, arranged in folders you create yourself. Each project has its own library.
What the Library Holds
Documents holds what someone uploaded into it, and nothing else. Files attached to another record — photos taken during an inspection, evidence on an issue, daily log photos, delivery paperwork — stay on that record and are opened from there. They are not listed in the library.
One library per project
Documents is project-scoped. Open a project, then click Documents in the sidebar. There is no organisation-wide library.
How the Library Is Organised
On a wide screen the library has two panels. The rail on the left holds the folder structure; the panel on the right lists whatever you have selected — subfolders first, then files.
| In the rail | What it shows |
|---|---|
| All Documents | Filed documents listed together, with no folder rows |
| General | The library root — files that sit in no folder, plus your top-level folders |
| Any folder | That folder's subfolders and files |
Reading a File Row
Each row shows a thumbnail (or a coloured icon for the file type), the file name, and the size and date it was added — for example 1.4 MB · 03/09/2026. Click the name to open it: images open in a preview inside the page, anything else opens in a new browser tab.
Finding a File
There is no search box, and no filters or sorting. You find a file by opening the folder it was filed into. The folder path across the top of the panel — Documents › General › Structural › Drawings — shows where you are, and each earlier step in it takes you back up. If you are not sure which folder a file went into, select All Documents to see filed documents without their folders.
What You Can Do
| Action | Where |
|---|---|
| Create a folder or subfolder | New Folder in the toolbar, or New subfolder on a folder's Options (…) menu in the rail |
| Rename or delete a folder | the folder's Options (…) menu in the rail |
| Upload files | Upload in the toolbar, or drag files onto the list |
| Open a file | click the file name |
| Remove a file | the trash icon on the row |
Removing a file is permanent
Everyone on the project shares the same access to the library, and removing a file takes it away for the whole project. There is no recycle bin — a removed file cannot be brought back.
