Getting Started with Reports
One day on site, from the field log to a branded report in the client's hands.
This walkthrough runs the full loop once: record a day on site, get it signed off, look at what the numbers say, and hand the client a branded document. After the first pass, the daily part takes a few minutes at the end of each shift.
- Daily Log → New Log — pick the date, fill in what happened, Save Draft
- Open the draft and press Submit — it locks and goes for review
- Someone else opens it from the Daily Reports tab and presses Approve
- Reports → Analytics — open any of the six reports to see where the project stands
- Reports → Client Reports → New Report — choose the period, then order the sections and set the detail level
- Mark as Final, then Preview → Share to create a password-protected link
Before You Begin
Prerequisites
- Open a project first. Both the Daily Log and the Reports hub are project-scoped — they do not exist at organisation level.
- You need daily-log create permission to see New Log. Owners, project managers, superintendents and foremen have it.
- A daily log can only be approved by someone other than the person who submitted it. On a one-person project, plan for a second approver.
Step by Step
Open the Daily Log and start a new record
Click Daily Log in the sidebar. The My Logs tab lists every daily log filed on this project, newest first. Click New Log to start one.
The header card asks for two things: the Date (a calendar popover, defaulting to today) and the Shift — day, night or swing. The project name and code fill themselves in.
Fill in what actually happened
Nine collapsible sections follow, all open by default: Weather, Manpower, Equipment, Work Performed, Delays, Visitors, Safety, Photos and Notes.
Nothing is compulsory while you are drafting, so fill in what you have and come back later. Fetch Weather in the Weather section pulls the day's conditions for the site rather than making you type them. Manpower, Equipment, Work Performed, Delays and Visitors are repeating rows — add one per company, machine, area or event.
Save the draft
Save Draft at the bottom is the only button on the new-log screen. It creates the log and takes you straight to its detail page, where the rest of the workflow lives. Photos you queued upload once the log exists.
Saving needs a connection. If it drops while saving, the log is not saved: you see an error, the form keeps what you typed, and you can press Save Draft again once you have signal.
Submit it for review
On the detail page, the bottom bar gains Submit. Before it will go, at least one of Manpower (a company with a headcount), Work Performed (an area and a description), Delays (a description and a duration) or Notes must be filled in — an empty log cannot be submitted.
Confirm in the Submit Daily Log dialog. The log then locks and reads "This log is pending review and cannot be edited."
Get it approved
Whoever holds approval permission opens the Daily Reports tab — it carries a badge with the number of logs waiting. Opening a log from that tab switches on the reviewer's controls: Approve and Return.
Return needs a note explaining what to correct; the log goes back to draft carrying a Returned for edits banner. Approve is final — there is no un-approve.
Read the analytics
Click Reports. The Analytics tab shows six cards, each with a live figure: Progress, Issues, Inspection / QC, Schedule / Overdue, Materials and Project Summary. Open one for the full report — charts, a table, a date-range selector and filters.
Compile a client report
Switch to the Client Reports tab and click New Report. Choose Monthly, Weekly or Custom Range, set the start date, and edit the auto-filled title if you want. Create Report opens the composer with all ten sections already switched on.
Set each section's detail level, drag the sections into the order you want, switch off the ones the client does not need, and write the Comments narrative under each. The Live preview on the right shows the document as it will be read.
Finalise and share
Mark as Final saves and freezes the compiled figures. Open Preview, click Share, and set an expiry — 7, 14, 30 or 90 days. Under Restrictions you can require a password and cap the number of views. Create Link gives you a URL the client opens with no PleoStack account.
Once the client has it, come back and press Mark as Sent so the report appears in the Sent tab as a record of the delivery.
