Searching Everything

One search box for the records, pages and people you have access to — Ctrl+K on the web, the magnifier on the phone.

Search finds records across the modules, the pages and settings of the app, and the people on your projects, from one box. It only ever shows what your role lets you open: a record you could not open on its own page is not listed, and is not counted.

Quick Summary
  1. Open search: click the Search box in the top bar, or press Ctrl+K (⌘K on a Mac). On the phone, tap the magnifier next to the bell
  2. Type at least two characters: a title, a number such as an RFI number or WBS code, a page name or a person's name
  3. Choose where to look: your current project first, or All projects
  4. Open a result with a click or tap, or with ↑ ↓ and Enter

What it finds

Results come in three groups, and a group with nothing in it is not shown.

  • Records: issues, inspections, RFIs, work items, documents, permits, vendors and materials, matched by title, number or code. Each result shows its kind and, where it has one, its status. A result from another project shows that project's name.
  • Pages & settings: the pages in your sidebar, found by name or by what they hold. "roles" finds Members & Roles; "timezone" finds your organization's settings.
  • People: the members of the projects searched, by name or email.

Each group shows its first five results; choose Show all to see the rest. A document opens in Documents, already searched for its name. A person opens the team list of their project.

This project or all projects

Search looks in the project you are in first. Switch to All projects to search every project in your organization that you can open (press Tab in the search box on the web, or tap the All projects chip on the phone). Projects you are not on, and other organizations, are never searched.

From the Portfolio Dashboard there is no current project, so search covers every project you can open.

On the web

The Search box sits in the top bar, right of the page title. On a narrower window it becomes a magnifier button. Ctrl+K opens search from any page, even while you are typing in a field.

  • ↑ ↓ move through the results, Enter opens one, Ctrl+Enter opens it in a new tab
  • Esc closes search

On the phone

Tap the magnifier left of the bell. Search opens full screen with the keyboard up. Under the box, choose your project or All projects, and tap Records, Pages or People to show only that group. Opening a record from another project switches you to that project first.

Questions

Why can't I find a record I know exists?

Search shows only what your role can open. If your role cannot read RFIs, for example, no RFI appears in search. A record in a project you are not on is not searched either. Ask your organization owner or admin if you need access.

Does search look inside descriptions or documents?

No. It matches titles, names, numbers and codes. A document is matched by its file name or label, not by what is written inside it.
