Filtering & Exporting

Narrowing a report by date range and dimension, and getting the result out as a spreadsheet or a printed PDF.

Quick Summary
  1. The date-range dropdown sits at the top of every report, defaulting to All time
  2. Custom range... opens two calendars — pick From and To, then Apply
  3. Filter dropdowns are multi-select; each shows a count when it is active
  4. Clear appears once anything is set and resets every filter at once
  5. Share opens Share & ExportExport as CSV or Print / Save as PDF
  6. CSV exports exactly what your filters left on screen

The Date Range

One dropdown, at the top of every report. The presets are:

  • Last 7 days
  • Last 30 days
  • Last 90 days
  • This month
  • This quarter
  • All time — the default
  • Custom range... — reveals two calendars, From and To, with Cancel and Apply

What the range actually filters differs by report, because each one is measuring a different date:

ReportThe date range applies toFilters offered
ProgressWhen each work item was createdStatus, Assignee, Priority
IssuesWhen each issue was raisedStatus, Assignee, Priority
Inspection / QCThe inspection dateStatus, Collection, Assignee
Schedule / OverdueThe item's due dateAssignee, Priority
MaterialsThe delivery chartsUnit
Project SummaryNone

Two reports behave differently

On Materials, the date range moves the delivery and spend charts; the materials table, budget and stock figures always reflect the current position. Project Summary always shows the whole project — that is what makes it a clean one-page snapshot.

The Filters

Each filter is a dropdown of checkboxes — tick as many values as you want. The dropdown shows a count once anything is ticked, and a search box appears when a filter has more than five options. If a search matches nothing, it says No results.

The fixed option lists:

FilterOptions
PriorityCritical, High, Medium, Low, None
Status (Issues)Open, In Progress, Fixed, Closed
Status (Inspection / QC)Not Started, In Progress, Completed, Cancelled
Status (Progress)Your project's own workflow statuses
AssigneeEveryone with work assigned on this project
CollectionThe inspection collections in use
UnitThe units your materials are measured in

Clear appears next to the filters as soon as one is set, and resets the lot. Everything on the page — figures, charts and table — follows the filters together.

Exporting

1

Set the view you want

Filters apply to the export, so narrow the report first. Exporting an unfiltered report gives you every record.

2

Open Share & Export

Click Share in the report header. The Share & Export dialog opens.

3

Choose a format

Export as CSV downloads the filtered rows as a spreadsheet file. Print / Save as PDF opens your browser's print dialog, from which you can save the report as a PDF snapshot exactly as it appears.

CSV for the numbers, PDF for the picture

CSV carries the underlying rows, so it is what you want for further analysis in a spreadsheet. The printed PDF keeps the charts and the layout, which is better for circulating. For something a client should receive, use a Client Report instead.
