Sharing a Report

Finalising a report, creating a password-protected link that expires, printing to PDF, and recording the delivery.

Quick Summary

Finalising

Mark as Final does two things in order: it saves the report, then freezes it. The figures compiled into each section are snapshotted as they stand, so the document keeps describing the period it covers rather than drifting as the project moves on.

Once final, the section builder is closed — Save Draft is gone and the sections cannot be edited. Get the narrative right before you finalise.

Share — expiry, password and a view cap, all set before the link exists

Open Preview from the composer toolbar, then click Share. The dialog has two tabs; Share is the first.

Set an expiry

Pick 7 days, 14 days, 30 days or 90 days. Every link expires — there is no permanent one.

Label it, if it helps

An optional link label, for example "For client review". It is for your own record when several links exist for the same report.

Add restrictions

Open Restrictions for two extra controls:

  • Require password — set a password the recipient must type before the report opens
  • Limit number of views — cap how many times the link can be opened, anywhere from 1 to 1000

Create it

Create Link generates the URL. It appears under Active links with a copy button, a revoke button, and how long it has left — "5 days left", or Expired once it is past.

A password and a short expiry beat a long one

For a contractually sensitive report, a 7-day link with a password sent by a different route than the link itself is a reasonable habit. Revoke works immediately if the report goes to the wrong address.

What the Client Sees

The recipient opens the link in a browser. They do not need a PleoStack account and are never asked to create one.

If you set a password, they see Password Required and type it to continue. Otherwise the report opens straight away, under a PleoStack Report Viewer header — the same cover page, the same numbered sections, the same photographs you saw in the preview, showing the figures as of your last save.

If the link has expired, been revoked, or hit its view cap, they see Link Unavailable with the reason. Create a new link if that happens; the old one cannot be extended.

Printing to PDF

The Export tab of the same dialog offers Print / Save as PDF, which opens your browser's print dialog. Save from there to get a PDF of the report exactly as it appears — useful when the client wants a file to keep, or the report is going into a bound monthly submission.

Recording the Delivery

Back in the composer, a final report shows Mark as Sent.
