Getting Started with Deliveries

Step-by-step walkthrough from logging your first delivery to tracking arrivals and costs.

This guide walks you through logging your first delivery — from selecting the material and vendor to attaching a delivery challan and tracking costs.

Before You Begin

Prerequisites

  • Your project needs materials in Inventory (or approved through Material Submittals)
  • You need vendors set up in the Vendors tab
  • Open Resources from the sidebar → switch to the Deliveries tab

Here's what the Deliveries tab looks like — a running log of material arrivals on your project, newest recorded first:

Open the New Delivery Dialog

Click New Delivery in the toolbar (top-right). The dialog opens with fields for material, vendor, delivery details, and an optional document upload.

Select Material and Vendor

  1. Select the Material from the dropdown — it shows two sections:
    • In Inventory — materials you're already tracking
    • Approved Materials (not in inventory) — submittals that haven't been added to inventory yet. Selecting one of these automatically creates the inventory entry for you.
  2. Select the Vendor — the dropdown filters to the vendors named as approved suppliers on the material's submittal, and the field label says "(filtered to approved)". If the material has none named, every vendor you have not removed is shown.

Auto-Inventory Creation

If you select a material from "Approved Materials (not in inventory)", the system creates the inventory entry and links the delivery in one step. The button text changes to Add to Inventory & Record Delivery.

Enter Delivery Details

  1. Enter the Quantity delivered (supports decimals)
  2. Enter the Unit Cost (₹) — the cost per unit for this specific delivery
  3. The Total previews automatically (quantity × unit cost) just below the quantity and unit cost fields
  4. Set the Delivery Date — defaults to today, change if logging a past delivery
  5. Optionally:
    • Attach a DC Document — upload the delivery challan (PDF, JPG, PNG, or WebP)
    • Add a Site Location — where on-site the material was delivered (e.g., "Block A - Foundation")
    • Add Remarks — any additional notes about the delivery

Save the Delivery

Click Add Delivery (or Add to Inventory & Record Delivery if the material wasn't in inventory).

The delivery is saved and appears in the table, and the quantity is added to your inventory stock right away. The system sets the status as it saves: the delivery is flagged if the vendor is not active, or is not on the material's approved supplier list.

What to Watch For

You're Tracking Deliveries

Every material arrival is now logged with full cost and vendor traceability. As deliveries come in:

  • Log each arrival → stock increases automatically
  • Attach delivery challans → documents are linked for audit
  • Filter by vendor or date → review supplier performance

Questions

Why isn't the material I want in the Material list?

The list holds materials already in Inventory, plus approved material submittals that aren't in inventory yet. A submittal still waiting for approval isn't offered.

Why isn't my supplier in the Vendor list?

When the material's submittal names approved suppliers, only those are offered, and the label says "(filtered to approved)". If it names none, every vendor you haven't removed is offered. Removed vendors never appear. If the list is empty, add the supplier in the Vendors tab first.

I logged the wrong quantity. Can I fix it?

Deliveries can't be edited. Delete it (⋯ at the end of its row → Delete, then confirm) and log it again. Deleting takes its quantity and cost back off the material, and it can't be undone. Once some of its quantity has been used, it can't be deleted: correct the stock with a stock adjustment instead.
