Stock Tracking
How inventory stock levels are calculated, and how budget is tracked against them.
- Stock formula: Current Stock = Total Delivered − Total Consumed ± Manual Adjustments
- Over budget is shown on the material's detail page when total delivery cost passes the budgeted amount (rate × planned quantity)
- Out of Stock is shown on the material's detail page once current stock reaches zero
- Consumed progress bar = usage ÷ planned quantity (percentage, not remaining stock)
- Stock updates immediately when a delivery is logged, usage is logged, or an adjustment is made

The Stock Formula
Your material's stock level is computed automatically from three inputs:
Each of these updates in real time:
| Input | What Affects It | Direction |
|---|---|---|
| Total Delivered | Every delivery you log | Increases stock |
| Total Consumed | Usage log entries | Decreases stock |
| Manual Adjustments | Stock adjustments (add or remove) | Either direction |
Budget Indicators
These appear on the material's detail page:
Over Budget
- Shown when: total delivery costs pass your budgeted amount, and a planned quantity is set
- Budgeted amount = unit rate × planned quantity
- Reads: Over budget by ₹X, in amber
- What to do: review delivery costs, check if rates have increased, adjust the budget if needed
- Example: Rate is ₹5,000/m³, planned 100 m³ = ₹5,00,000 budget. Delivery costs hit ₹5,20,000 → over budget by ₹20,000
Out of Stock
- Shown when: current stock is exactly zero
- This is the only stock-level indicator in Resources — there is no low-stock threshold
Understanding the Consumed Progress Bar
The Consumed column shows a progress bar with a percentage. This represents:
Consumed % = Total Consumed ÷ Planned Quantity × 100
This tells you how far you are through your planned material usage for the project — not how much stock remains.
If planned quantity is not set, the Consumed column shows a dash for that material — set a planned quantity to see the bar.
| Consumed % | Status | Typical Action |
|---|---|---|
| 0–50% | Normal | On track |
| 50–80% | Watch | Verify remaining stock covers the plan |
| 80–100% | Attention | Check the current stock and the delivery schedule |
| >100% | Over plan | Usage exceeded the original estimate |
Stock History
Every change to stock is recorded with a full audit trail:
- Deliveries: Vendor, date, how much, and what it cost
- Usage logs: Who logged, when, quantity consumed, remarks
- Adjustments: Who adjusted, direction (add/remove), quantity, reason
These records are visible in the material's detail page under the respective tabs.

Questions
Does anyone get told when a material runs low or runs out?
No. Resources sends no stock alerts. Check the Out of stock tab on the Inventory list.
Does a flagged delivery count toward stock and cost?
Yes. Every logged delivery adds its quantity to stock and its cost to Total Cost, flagged or not. If the material went back to the supplier, delete the delivery. If some of it was already used, record a stock adjustment instead.
Why isn't Stock just Delivered minus Consumed?
Stock adjustments count too, including the Stock on Hand you entered when adding the material. That's saved as a Stock In adjustment called "Initial stock on hand". You'll find them all on the material's Adjustments tab.
