Progress for a Client
Two ways to show a client where the project stands, a quick Progress report export or a branded client report, and how to send each.
There are two ways to show a client how the project is going. The Progress report under Analytics is quick: filter it and export a spreadsheet or a PDF of the page. A client report is the finished document: your branding, a Progress & Schedule section with your own comments, and a link the client opens in a browser.
- Reports → Analytics → Progress — completion, status and every work item
- Share → Share & Export — Export as CSV or Print / Save as PDF for a quick update
- For a branded document: Client Reports → New Report, and pick the period
- In the composer, set the Progress & Schedule detail level and write Comments
- Preview it as the client will see it
- Mark as Final, then Share → Create Link, or Export for a PDF
- Mark as Sent once it has gone, to keep a record in the Sent tab
Before You Begin
Prerequisites
- Open a project first. The Reports hub belongs to a project.
- Progress figures come from the project's work items as they stand now. The Work Performed list comes from approved daily logs in the report's period.
Step by Step
Open the Progress report
Click Reports. On the Analytics tab, open Progress. It shows the completion percentage, how many items are in progress and overdue, a status donut, a completion trend, and the All Work Items table. Set a date range and filters to narrow it down.
Export it for a quick update
Click Share in the report header. Share & Export offers Export as CSV, a spreadsheet of the rows your filters left on screen, and Print / Save as PDF, which opens your browser's print dialog. Send the file yourself. For a branded document with your comments, carry on to the next step. Filters & Export has the details.
Start a client report
Open the Client Reports tab and click New Report. Choose Monthly, Weekly or Custom Range, pick the start date, and edit the title if you want. Create Report opens the composer with every section switched on.
Set up the Progress & Schedule section
Under Report sections, find Progress & Schedule and choose its detail level:
- Summary — Completion Overview and Schedule Health only
- Standard — adds the five most overdue items, a Status Breakdown and Work Performed from the daily logs
- Detailed — lists every overdue item
Expand the section to switch parts off or to write Comments, the narrative your client reads under the figures. Switch off the sections the client doesn't need, and drag the rest into order. The Live preview on the right updates as you go. Compiling a Report covers every section.
Preview it as the client will see it
Click Preview. The Progress & Schedule section opens with Completion, Total Items, Completed, In Progress and Overdue, a completion donut, Schedule Health (on track, at risk, overdue) and the Overdue Items with who owns each one and how late it is.
Finalise and share the link
Back in the composer, press Mark as Final. In Preview, click Share, pick an expiry of 7, 14, 30 or 90 days, add a password or a view limit under Restrictions if you want them, and click Create Link. The client opens the link in any browser, with no PleoStack account.
Or save it as a PDF
For a file to attach to an email, switch to the Export tab in the same dialog and click Print / Save as PDF. Your browser's print dialog opens; choose Save as PDF as the printer.
Record the delivery
Once the client has the report, press Mark as Sent in the composer. The report moves to the Sent tab, its figures are stored as they stand, and it locks, so the client's copy keeps describing the period it covers. To change a sent report, press Revise for a new draft.
Questions
Which should I send, the Progress report or a client report?
The Progress report export is quick and plain: a spreadsheet or a printout of the page. A client report carries your branding and your comments, covers a set period and adds any other sections you choose, such as manpower or weather. Most clients expect the client report.
Will the client's link change as the project moves on?
Not after you press Mark as Sent. That stores the figures and locks the report, so the client's copy keeps describing the period it covers.
