Members & Roles

Invite people to your organization, add them to projects, remove them, and define what each role can do.

People join your organization first, then get added to the projects they work on. Manage both from Settings:

  • Organization → Members & Roles lists everyone in the organization and holds the Roles & Permissions tab.
  • Project → Members lists the people assigned to the project you are in.

Both pages are listed on a computer, not on a phone.

The member list

Search by email, group the list by Role or Type (Internal or External), and filter it. The organization list also shows people you have invited who have not joined yet; the Invited filter shows only them. Click a row to see that person's details.

Inviting someone to the organization

  1. Open Organization → Members & Roles and click Add member.
  2. Enter their Email (required) and, if you like, a Display Name.
  3. Choose a Member Type and a Role.
  4. Click Send invitation.

They get an email with a link and join the moment they open it. Until then they show as invited.

Adding someone to a project

  1. Open Project → Members and click Add member.
  2. Pick the person under Select from Organization. Only organization members can be added — there is no way to type a new person's details here, so invite them to the organization first.
  3. Choose a Member Type and a Role, then click Add Member.

Invitations and removing people

  • Resend or revoke an invitation: click the invited person's row, then Resend invitation or Revoke. A revoked link stops working; you can invite them again later.
  • Remove people: select their rows and click Remove, then confirm.
    • From the organization, they are removed from the organization and every project in it.
    • From a project, they leave that project only and keep their organization membership.

Roles and permissions

The Roles & Permissions tab on Organization → Members & Roles lists your organization's roles. Click a role to see its permissions. Changing roles needs the Roles → Manage permission; the organization owner always has it:

  • New Role — give it a Role Name, an optional Description, a Role Color and its Permissions.
  • Edit — open a role, then click Edit.
  • Duplicate — from the role's actions menu, to start a new role from an existing one.
  • Enable or disable — use the switch on the role. A disabled role stays in the list, marked Disabled, but cannot be picked for anyone new.
  • Delete — on roles you added, from the actions menu. It removes the role for good, and only works while nobody holds it: if members in the organization or on a project still have the role, the delete is refused and tells you how many to reassign first. Pending invitations for the role are revoked when it is deleted. The roles your organization started with cannot be deleted; disable them instead.

The roles your organization starts with are a starting point. Change them to fit how your teams work.

Questions

How long does an invitation last?

Seven days. After that the row shows Expired: click it, then Resend invitation. A resend sends a fresh link and starts the seven days again, and the old link stops working.

Can I change someone's role later?

Yes. On the organization list the owner picks a new role in the person's Role cell; on a project's Members list, a project owner does. It applies straight away and the person is notified.

If I change a role's permissions, does it affect people who already hold it?

Yes, everyone who holds that role, from their next action. There's no need to reassign anyone.

Does someone I remove find out?

Yes. They're notified and lose access straight away.
